Popular Email Providers and Choosing The Right One For You

Before proceeding with the steps for a smooth email transition, you must research and decide on a new, reliable email provider that best suits your needs. Below are our top recommended options.

1. Gmail

When changing an email address, you need the best, and Google’s Gmail is a popular provider that is guaranteed to give you the best service. According to 2023 statistics, Gmail has over 1.8 billion users worldwide and is easily the most popular email service provider globally, with many people trusting it.

Gmail allows its users to create completely free accounts. In 2021, 36.5% of new email accounts opened were Gmail accounts. This is not only because it is free but also because it can be used in 105 different languages.

It also supports small and large businesses alike by offering a selection of affordable plans that support businesses. Each plan has a range of different features on offer. These range from storage space to support options that aid your business needs.

In addition to the reasons we have already mentioned, Gmail is compatible with almost any device, so anyone can create an account.

2. Yahoo! Mail

Some people prefer an old, reliable email provider that has been around for years, such as Yahoo! Mail. First launched in 1997, it has been a popular email provider ever since. Since its founding, Yahoo! Mail has evolved to be available in 27 languages. If you don’t speak English, you can easily change your language preferences in the settings.

Yahoo offers an excellent free service for users who want to create personal accounts and those who want domain variation. These domain options are @ymail.com or the old favorite @yahoo.com. While not as popular as Gmail, it is still a trusted service provider that has been around for nearly thirty years.

3. Outlook

Outlook is a trusted email service offered by Microsoft. It has both free and paid versions and is one of the top email providers next to Google’s Gmail. The free variation, which is familiarly known as Hotmail amongst the older generations, offers its users a clean, easy-to-use interface and bonus features.

Competing with Gmail, Outlook can be used on multiple devices and operating systems. The only exception is that it can’t be used on Linux operating systems. With its versatility, modern setup, and appeal, Outlook has steadily grown to be the popular email service provider it’s known as today.

Why Might Someone Want To Change Their Email Address

Moving from one email to another feels like a big undertaking to most users, and it can be an involved process, so it’s best to ensure it’s a move you want to make.

There are many reasons why a person might consider changing their email address. Here are a few of the reasons you might want to change your email address:

  • There is a security risk: An outdated or compromised email account can expose you to security risks and privacy breaches.
  • Spam: An email account can easily be flooded with enough spam that it may be too time-consuming to filter through it all and delete it.
  • Professionalism: To appear more professional, you may want to create a new email account. This is especially true for businesses, employees, or job seekers.
  • Rebranding: A new account may sometimes be needed to match the business or personal brand.
  • Privacy: You may want to separate your work and personal emails to make them easier to manage.
  • Features: You might want to switch to gain access to certain features or seek more reliability.

Creating A New Email Address – How To Do So

Now that you know everything you need to know about the email providers you can choose from, how do you set up an email address?

While this often depends on the provider, most steps to creating a new email account are the same across the board. So you can use the following steps to create an account:

  1. Choose a website that offers an email service (Google, Yahoo, Outlook) that is entirely free to create an account on and go to its signup pages. You can find these pages by typing “Free Account” into the search engine.
  2. Click on the text option that either says “Sign up” or “Register.” Some sites may require you to click the “Login” option before revealing the “Sign up” option.
  3. Then, follow the prompts or instructions and fill in all the required details. Since you may feel uncomfortable providing some information, you’ll be pleased to learn that leaving out information does not prevent the account from being created.
  4. Before finishing the sign-up process, read any policies and service agreements and click the check box to state that you will abide by and agree to the system’s rules and regulations. Once you’ve selected the box, you can click on a “Submit” or “Enter” button at the bottom of the screen.
  5. You are done! You can now begin taking the steps to import your data and more.

Is it Possible To Transfer Your Data and Keep Your Contacts?

Most users are concerned about how to transfer email contacts and other essential data. Most reliable email services will have the option to import and export contact lists. Moving from Cox.net to Yahoo is a good example of an easy transition process.

Additionally, there are options to use third-party tools to speed up and assist with migrating your data and contacts. In this instance, you must back up your current data to avoid any data loss or corruption.

Cox.net Example

While the Cox.net transition process is just an example, many replicate similar steps when users want to keep their data and contact lists while switching to a new account.

The Process

Before you start transitioning, ensure you have the following on hand:

  • Provide your existing email address, and ensure you include the @cox.net at the end.
  • Your Current Cox.net email password.

The following steps depend on how you access your emails. One of these two scenarios will be presented to you:

  • If you access your account through webmail, you’ll likely be redirected to a page that prompts you to complete a transition.
  • If you use a third-party email client, you’ll receive an email with a link and clear step-by-step instructions on completing your transition.

Should you have multiple email accounts, you will notice that each one will individually receive instructions when it needs to be moved to the new account. Once you have received these instructions, follow these steps to finalize the migration of your data to a provider like Yahoo! Mail:

  1. Go to the page http://mail.yahoo.com/
  2. Enter your email address, then select “Next.”
  3. Type in your password and select “Next” again. If you have forgotten your password, click the specific “Forgot Password” button and follow the instructions. Then, try logging in again.

Note: Yahoo may prompt you to personalize your inbox once your transition is completed.
